Interested in tutoring with HMT? Here’s what you can expect from sign-up to startup!

Heart Math Tutoring is excited to serve 1,200 Charlotte students, 200 Charleston students, and 150 Winston-Salem students in the 2025/26 school year with the help of over 1,500 volunteers giving just one hour per week!
To become a tutor, simply select your preferred tutoring time and location on the sign-up form, and we’ll pair you with a student! Tutoring begins in early October.
What can you expect when you sign up to tutor with Heart? Below is the process from sign-up to startup:
1. Sign Up: Get started by selecting your tutoring time and location on our website. You’ll select your preferred school, tutoring day of the week, and time. We will send a copy of the form to your email once it’s submitted.
2. Welcome Email: The week you sign up to tutor, we’ll send you an email welcoming you to the program and giving you more information to prepare you for tutoring!
3. School Assignment Email: In late August, you will receive an email confirming your school assignment, asking you to complete your school-district volunteer background check (if you have not done so yet), and providing additional information about tutor training. If you sign up after August, you will receive this email in place of your welcome email the week you sign up.
4. Volunteer Background Check: Before you begin tutoring you will need to complete a background check for the school district where you are tutoring. This is an online form that takes just a few minutes to fill out and you need your driver’s license and social security number handy. You must complete your background check before you begin tutoring. You can complete that step now or wait until you receive your startup logistics email.
If you are tutoring in Charlotte, you will complete the CMS volunteer background check here. Please see the how-to for the CMS background check form here, where we provide answers to FAQs and important additional steps on how to complete the form!
If you are tutoring in Charleston, you will complete the CCSD volunteer background check here. (Note: For CCSD there is a $5 administration charge by the district to conduct the background check. You will have the opportunity for Heart to reimburse this charge via a $5 gift card.)
If you are tutoring in Winston-Salem, you will complete the WS/FCS volunteer background check here. Be sure to select your assigned school, and “Heart Math Tutoring” in the School or Group 1 dropdown!
5. Session Assignment Email: During the week of September 15th, you can expect an email from your Program Coordinator with more details on the day and time you’ll be tutoring. Our team will be working hard administering student pre-assessments and matching students’ schedules with tutor signups until that time. If you sign up after the week of September 15th and onward you will receive this email from your Program Coordinator before you begin tutoring.
6. Tutor Orientation: Every HMT volunteer is required to attend orientation; however, the type and format of the training(s) will vary based on your HMT tutoring experience and tutoring format. You will receive a link to sign up for training in your School Assignment Email in late August. See an outline of our orientations and what to expect here.
7. Tutoring Begins: You will begin working with students starting the week of October 6th (or once you have completed all of the required steps above). Congratulations, you’re officially a tutor with HMT!
